What data we collect and why
We collect only what we need, and only for a clear purpose.
When you contact us
Your name and email address, submitted via the contact form or directly by email. We use these to respond to your enquiry and, if relevant, to follow up on a proposal or project. We do not add you to a mailing list without asking.
When you visit the website
Anonymised usage data through analytics: pages visited, time on site, referral source. This helps us understand what is useful and what is not. No personal data is collected at this level, and no tracking cookies are placed without your consent.
When we work together
Project-related information shared during a collaboration. This may include organisational context, team feedback, or facilitation materials. This information is used exclusively to deliver the work agreed, and is handled with professional confidentiality throughout.
When you avail of our digital products
We collect information about you during the checkout process on our store. This information may include, but is not limited to, your name, billing address, shipping address, email address, phone number, credit card/payment details and any other details that might be requested from you for the purpose of processing your orders.
Handling this data also allows us to:
- Send you important account/order/service information.
- Respond to your queries, refund requests, or complaints.
- Process payments and to prevent fraudulent transactions. We do this on the basis of our legitimate business interests.
- Set up and administer your account, provide technical and/or customer support, and to verify your identity.
Additionally we may also collect the following information:
- Location and traffic data (including IP address and browser type) if you place an order, or if we need to estimate taxes and shipping costs based on your location.
- Product pages visited and content viewed while your session is active.
- Your comments and product reviews if you choose to leave them on our website.
- Account email/password to allow you to access your account, if you have one.
- If you choose to create an account with us, your name, address, and email address, which will be used to populate the checkout for future orders.
Legal basis for processing
We process personal data only where we have a lawful basis to do so under the General Data Protection Regulation (GDPR, EU 2016/679):
- Legitimate interest – responding to enquiries and delivering contracted work
- Contractual necessity – managing an active client relationship
- Consent – where explicitly requested, such as newsletter subscription
How long we keep your data
Contact enquiries are kept for a maximum of twelve months if no working relationship follows. Client project data is retained for seven years in line with Dutch tax and accounting obligations, then securely deleted. You can ask us to delete your data at any time. See your rights below.
Who we share data with
We do not sell, trade, or share your personal data with third parties for commercial purposes. Where tools or platforms are used (such as a scheduling application or download storage), we use services that are GDPR-compliant or operating under an adequacy decision.
How we use AI and what this means for you
At Good Comms, AI tools are used selectively, transparently, and in a way consistent with our values. Communication is power. That principle applies here too.
We use AI to support summarising, drafting, research, content development, and session preparation. We do not use AI to make decisions about people, to generate client-facing output without human review, or to process personal or sensitive information belonging to the people we work with.
Our approach is guided by ouw own HEAT framework – an AI ethical standard based on current and universal standards on ethical technology and communication use:
- Humanity – people remain at the centre of every decision, AI-assisted or otherwise
- Ethics – we use AI in ways we are prepared to be transparent about
- Accountability – we own every output. If AI contributed to it, we are still responsible for it
- Transparency – we are honest about what AI can and cannot do, and clear about where human judgement is always applied
In practice: while we use AI to support some of our work, no client data enters any AI system. Anything that reaches you has been written, reviewed, and signed off by a human.
Cookies
This website uses only essential cookies required for basic functionality. No tracking cookies, advertising cookies, or third-party analytics cookies are placed without your explicit consent. If consent is requested, you can withdraw it at any time by adjusting your browser settings or contacting us directly.
Your rights
Under GDPR, you have the right to:
- access the personal data we hold about you
- request correction of inaccurate data
- request deletion of your data (‘right to be forgotten’)
- object to processing based on legitimate interest
- request restriction of processing
- receive your data in a portable format
- lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens, autoriteitpersoonsgegevens.nl)
To exercise any of these rights, contact us at chared@goodcomms.nl. We will respond within 30 days.
Security
We take reasonable technical and organisational measures to protect your data against unauthorised access, loss, or misuse. These include encrypted communications, access control, and regular review of the tools and services we use.
